Call, text or email with a line about your business.

Hours and replies

Answer first: Mon–Fri 9–6 Pacific. We usually reply within one business day.

Texts and emails that arrive after hours or on weekends are answered the next business day. If you're on a job site, text is often easiest, and welcome: send a line or two and we'll set up a time to talk properly.

What to include in your message

Answer first: tell us what you install, where, and which part of the office hurts most.

A useful first message covers:

  • Your company and region. Province and the main towns you serve, so we know which programs and language rules apply.
  • What you install. Ducted, ductless, dual-fuel, ground-source, water heaters, and roughly how many heat-pump jobs a month.
  • The tools you use now. CRM or field-service app, proposal method, how you track rebates, and anything that sends texts or emails.
  • The leak you suspect. Slow proposals, stuck rebate paperwork, cold leads after visits, or no idea where jobs come from.
  • Three numbers, if you have them. Days to proposal, stuck rebate jobs, share of signed jobs with a known source.

You can copy this template into a text or email:

Hi, this is [Your name] from [Business name] in [City, Province]. We install about [number] heat pumps a month. Right now we use [CRM or tools] and our biggest problem is [slow proposals / rebate paperwork / follow-up / tracking]. Best time to reach me is [day and time].

What happens next

Answer first: one conversation, then a written summary, then a decision that's entirely yours.

  1. First conversation. A short call, screen share, video call or in-person meeting. We ask about your process and numbers, and you ask about ours.
  2. Written summary. Within a few business days you get a short note: where we think jobs are leaking, which fix we'd start with, what it should be worth on your numbers, and which plan fits.
  3. Free trial or no thanks. If it makes sense, the 7-day free trial starts with no credit card. If it doesn't, you keep the summary and owe nothing.

Before you contact us

Answer first: you may get what you need from the guides first.

If you're still working out whether your problem is proposals, rebates or follow-up, the guides are written to help you diagnose it yourself. The services overview has a symptom table, and pricing shows the plans so there are no surprises on the call.

If you'd rather start small

Answer first: you can ask one specific question first.

Some installers prefer to test us with a single question, such as whether their CRM can handle a rebate pipeline or how to word a program estimate on a proposal. That's fine. Send it by text or email, and we'll give you a straight answer. If it turns into a bigger conversation, good; if not, you've lost nothing.

Privacy when you reach out

Answer first: we use your details only to reply and, if you hire us, to do the work.

We don't add you to any mailing list. We only email people who contacted us first, and you can ask us to stop at any time. Please don't send customers' personal information in your first message; anonymised examples are plenty.

About the person who answers

Answer first: you'll talk to someone who has built this kind of system before.

HeatPumps.Solutions is part of the Sedighi.ca and SAZ.ca group, run from Vancouver and led by Ali Sedighi, MBA. Read more on the about page, or look at our published results from HVAC work before you get in touch.

Frequently asked questions

Do I need to prepare anything before I call?

No, but three numbers help: days from site visit to proposal, open rebate jobs that are stuck, and how many recent signed jobs have a known source. Rough estimates are fine.

Can I send screenshots of our current setup?

Yes, by email. Screenshots of your pipeline, a sample proposal with prices blurred, or a list of the tools you pay for all help us understand your stack faster. Please leave out customers' personal details.

Will you give us admin access requests on the first call?

No. We don't need logins to have a useful first conversation. Access comes later, once you've decided to work with us, and always as invited users on accounts you own.

What if we're in Atlantic Canada?

Our hours run on Pacific time, so afternoons in the Atlantic provinces overlap with our mornings. Text or email at any time and tell us when you can talk; we'll fit around your schedule.
