We offer five services, each aimed at one place where heat-pump jobs leak between the first call and the final rebate payment. You don't buy them as a bundle. You start with the leak that is costing the most, fix it, make sure your team actually uses the fix, and then move to the next.
-
Proposal and quoting software setup
Turn a home visit into a clear good-better-best proposal the homeowner can sign the same evening.
-
Rebate tracking workflows
Know which job is waiting on which document, for which program, and how many days are left.
-
Marketing automation for installers
Follow-up texts and emails that fire on their own, with consent records that stand up under CASL.
-
CRM and field-service software selection
Pick, configure and connect the system your office will actually use, with your data staying yours.
-
Call tracking and cost-per-install reporting
See which ad, page or referral produced each signed heat-pump job, and what it cost.
Start with three diagnostic questions
Answer first: three numbers from your last 90 days tell you where to begin.
- Days from site visit to proposal sent. Over one business day means proposals are your first fix.
- Rebate-dependent jobs stuck after signing. If more than a handful are waiting on paperwork, start with rebate tracking.
- Signed jobs with an unknown source. If you can't name the source of most of last month's wins, start with tracking, because every later decision depends on it.
If you can't answer any of the three, that is itself the answer: you need a system of record, which is where CRM selection comes in.
| Symptom you notice | Probable leak | First service |
|---|---|---|
| "We're busy but closing fewer than we quote" | Slow or confusing proposals | Proposal software |
| "Homeowners call angry about rebate delays" | Missing documents, missed windows | Rebate tracking |
| "Leads go cold after the visit" | No follow-up rhythm | Marketing automation |
| "Nobody knows which customer is where" | No single system of record | CRM selection |
| "We spend on ads but can't say what works" | No source tracking | Call tracking and reporting |
Proposal and quoting software
This service gets proposals out the same day, in a format homeowners can compare and sign. We build good-better-best templates for ducted, ductless and dual-fuel jobs, with equipment specs, warranty terms, financing lines and program notes laid out so the homeowner can see what they're choosing.
It suits installers whose technicians write quotes by hand or in a word processor after hours. Details are on the proposal software page.
Rebate tracking workflows
This service gives every rebate-dependent job a status, an owner and a deadline. Programs differ by province, change mid-year and ask for different documents, so a tracker that captures the right fields from day one saves hours of chasing later.
It suits installers doing more than a few program-funded jobs a month. See rebate tracking and the companion rebate tracker blueprint.
Marketing automation for installers
This service sends the right message at the right step without anyone remembering to. Think quote reminders, missed-call replies, maintenance prompts and review requests, all with consent captured in a way that meets Canada's anti-spam rules.
It suits teams where follow-up depends on one busy person. See marketing automation.
CRM and field-service software selection
This service helps you choose one system of record and connect everything else to it. We use a weighted scorecard built on your workflow, not a vendor's feature list, and we plan data migration so nothing gets lost.
It suits companies running on spreadsheets, or on two systems that don't talk to each other. See CRM selection.
Call tracking and cost-per-install reporting
This service links each signed job to the ad, page, referral or truck wrap that produced it. Once that's in place, cost per install replaces cost per click as the number you manage by.
It suits installers spending real money on advertising. See lead tracking, and check pricing to see how these services fit the monthly plans.
How the services fit together
Answer first: the CRM is the spine, and the other four attach to it.
Proposals create the job record, the rebate tracker hangs off that record, automation reads its status to decide which message goes out next, and reporting reads the source field. You can start anywhere, but whatever you start with should write into the same place. That one rule prevents most of the double entry we find in installer offices.
Frequently asked questions
Do I need all five services?
Almost never at once. Most installers start with one or two, usually proposals or rebate tracking, because those touch revenue directly. The others are added when the first fix is stable and your team is using it.
Will you make us switch software?
Only if the tool you have can't do something you need. Switching costs staff time, data clean-up and a few weeks of friction, so we configure what you already pay for before we recommend anything new.
Do you get paid by software vendors?
This site doesn't promote vendors. If a commercial relationship ever applies to a tool we recommend, we'll tell you before you decide, in writing, so you can weigh it.
How long does a typical setup take?
A single focused fix, such as proposal templates or a rebate tracker, usually takes two to six weeks including staff training. A full CRM migration takes longer and depends on how clean your existing data is.
