Frequently asked questions

What does HeatPumps.Solutions actually do?

We set up and connect the office systems behind heat-pump sales: proposal software, rebate tracking, follow-up automation, CRM and job-level reporting. We also offer the wider marketing services of our parent brand, HVAC.Agency, when installers need them.

Are you a heat-pump contractor?

No. We are a marketing and business consulting service. We don't install, service or repair heat pumps or any other equipment, and we don't give technical or code advice.

How much does it cost?

Monthly plans run from $2,998 (Starter) to $8,998 (Elite), and websites from $3,500 one-time, all in Canadian dollars. Installers add GST/HST based on their province (GST and QST in Quebec). Software subscriptions are billed to you by the vendors.

Is there a long-term contract?

No. There's no lock-in, and you can stop when the work stops paying for itself. You start with a 7-day free trial, and we never ask for a credit card to begin it.

How quickly will we see a difference?

Process fixes such as same-day proposals can show up in your numbers within the first month. Anything tied to the sales cycle, like cost per install, needs 60 to 90 days of data because heat-pump decisions take weeks.

We tried an agency before and it didn't work. Why would this be different?

Often the earlier agency bought more leads without fixing what happened after the lead arrived. We start with your conversion steps and measure against your own baseline, so you can see whether the work is paying off.

Who owns the website, CRM and ad accounts?

You do. Accounts are opened in your company's name and billed to you, and we're added as users. If we part ways, you remove our access and keep everything.

Do software vendors pay you?

This site doesn't promote or rank vendors. When we recommend a tool, we explain why in writing, and if any commercial relationship applies to it, we tell you before you decide.

Will you make us change software?

Only when the current tool can't do something your business needs. We configure what you already pay for first, because switching costs staff time and data clean-up.

Do you handle rebate applications for our customers?

No. Program applications stay between you, the homeowner and the administrator. We build the tracker, checklists and reminders that keep those applications moving.

Is automated texting legal in Canada?

Commercial texts and emails are covered by Canada's Anti-Spam Legislation, which requires consent, identification and an unsubscribe. We set up consent records and opt-outs, but for legal advice on your situation, speak to a lawyer.

What do the monthly reports show?

The measures we agreed at the start, such as time to proposal, close rate, days to rebate funds and cost per install by source, compared with your baseline. Starter reports monthly; Growth adds weekly reporting.

Do you work with installers outside BC?

Yes, in every province and territory. We adapt trackers and templates to regional programs and language rules, such as French requirements in Quebec.

Cost and commitment

Answer first: plans from $2,998 a month, websites from $3,500, no lock-in, and a 7-day free trial.

The pricing page has the full table and a worked payback example. In brief, the question to ask is not "is $4,498 a month a lot?" but "how many extra signed jobs would cover it?" For an installer whose average job leaves several thousand dollars of gross profit, the answer is usually one or two a month.

Software and vendors

Answer first: we're vendor-neutral, and you pay vendors directly.

We describe software by category on this site and don't publish rankings, because the right tool depends on your workflow. When we compare options for you, the scorecard and reasoning are written down. The CRM selection page shows the scorecard we start from.

Timelines

Answer first: weeks for a focused fix, a few months for a full CRM migration.

  • Proposal templates: about three to five weeks
  • Rebate tracker: about two to four weeks
  • First automation sequences: about three to six weeks
  • CRM selection and migration: about two to three months

Measuring the effect takes longer than setting things up, because heat-pump sales cycles run for weeks.

Data and ownership

Answer first: everything is yours, always.

Your CRM, proposal tool, ad accounts, tracking numbers and website are opened in your name. That's not a courtesy; it's how we prevent the situation many installers have lived through, where an old agency held the keys. Read about us for the other principles we work by.

Results and honesty

Answer first: we publish real HVAC results and don't promise yours.

The results page shows outcomes from our HVAC work, each linked to the live client site. They prove the method, not your future numbers. We measure your starting point, set targets with you, and report honestly against them, including when something isn't working.

What to do next

Answer first: one conversation is enough to know if we can help.

Have three numbers ready if you can: days from visit to proposal, how many rebate jobs are stuck, and how many of last month's signed jobs have a known source. Then go to contact.

Positioning, in one line

Answer first: we market and advise installers; we never do the installing.

HeatPumps.Solutions is a marketing and business consulting service for heat-pump installers across Canada. We work on proposals, rebate tracking, automation, CRM and reporting, and on the wider marketing through HVAC.Agency. The licensed work on equipment always stays with your company and crews.

Questions we hear less often

Answer first: a few that come up now and then.

  • Can you train our office staff? Yes; training is part of every setup, because a system nobody uses doesn't help.
  • We're a two-person shop. Is this overkill? Not necessarily. Small installers often gain the most from a simple tracker and a quote follow-up sequence, because there's nobody else to remember. We'll scale the setup to the size of the business and tell you if a plan is more than you need.
  • Do you write ad copy and website content too? Yes, through the wider HVAC.Agency plans. This site focuses on the systems side.
  • What if a program we rely on closes? The tracker keeps the history, and we help you rewrite proposals and messages so they don't refer to money that's no longer available. The areas pages note what we found for each province as of October 2026.

Still unsure whether we're a fit? Read the services overview for the symptom table, then send us one line describing your biggest office headache. That's usually enough for us to say honestly whether we can help.
